DKP, a certified Women's Business Enterprise with more than 100+ cumulative years of experience in the drug and device industry, is searching for a talented and detail-oriented Executive Assistant. This role will provide administrative support to the president and other members of the corporate team (Director level and above). The individual selected for this position will handle information in a highly confidential and critical manner and provide support in scheduling calendars, arranging and coordinating meetings, conducting research and representing the president/the organization with clients and vendors.

Key Responsibilities

CEO/President Support

  • Maintain the CEO/President’s schedule, including day-to-day and long-term management of projects and priorities
  • Serve as a vital, credible, resource for identifying internal messaging opportunities directed at meeting DK Pierce vision, mission and values
  • Ensure confidentiality in dialogue and communications within the company and related to client proprietary information
  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants
  • Balance and communicate conflicting priorities in order to manage workflow, ensure the completion of essential corporate initiatives, and meet critical deadlines
  • Ensure that CEO/President is prepared for upcoming travel and/or meetings with clients through determining needed resources and documents
  • Maintain awareness of CEO/President’s daily schedule and provide support when needed (i.e. grab lunch)

DK Pierce Team Support

  • Serve as the first point of contact for a wide variety of client interactions, requiring effective triaging within the company
  • Facilitate, build and monitor relationships with key clients, including documenting interactions in Salesforce and identifying follow-up needs
  • Handle phone, email and mail inquiries and respond appropriately
  • Draft and edit correspondence, articles, reports and presentations; transcribe meeting notes
  • Greet and escort visitors in the Zionsville office location
  • Coordinate and manage special projects when needed, working collaboratively with the DKP team on various client-directed work
  • Assist in planning, scheduling, organizing and executing client related meetings and events
  • Participate in client meetings and events and serve as recorder when necessary
  • Perform administrative backup for Facility Management and Client Quality Support roles
  • Manage client document retention and destruction procedures, including organizational management of file sharing system (SHARE)

DK Pierce Corporate Support

  • Portray professional appearance and attitude whether in the office or attending off-site client meetings
  • Communicate potential company service opportunities and quality improvements for this role as it evolves
  • Provide motivation, support, and affirmation to entire staff
  • Complete special projects as assigned and on time

 

Qualifications

  • Associate’s or Bachelor’s degree (required); Bachelor’s preferred.
  • Minimum 5-7 years of demonstrated experience supporting senior level leadership or equivalent required.
  • Demonstrated experience and ability with customer service and self-awareness required.
  • Demonstrated knowledge and experience in MS Office Suite, particularly PowerPoint and Excel, internet, Outlook email, with the ability to learn other applicable software as needed required.
  • Demonstrated experience in healthcare or pharmaceuticals preferred.
